If your business uses Microsoft 365 for email, messages that appear to come from your company email address are expected to be sent through an authorized Microsoft mail server.
WordPress websites often send form notifications and other website emails directly from the web server instead. When the website tries to send an email using your Microsoft 365 address — such as [info@yourcompany.com] — Microsoft and other email providers may see the message as unauthorized or potentially spoofed. As a result, the email may be blocked, sent to spam, or never delivered.
The solution is to connect the website directly to Microsoft 365 for outgoing email. We do this by installing and configuring a WordPress mail plugin that securely authenticates with your Microsoft 365 account. Website emails are then sent through Microsoft's authorized mail servers, greatly improving reliability and deliverability. This is a premium WordPress plugin and there are annual fees for this plugin. It also requires access to your Microsoft account as an Administrator, so you may need to get your email IT provider involved in the process.
This does not change how you normally use Outlook or Microsoft 365. It simply makes sure emails generated by your website are sent through the proper, Microsoft authenticated email system.
